From new entrant to 200 clients in ~3 months.

HelpSquad entered Healthcare BPO as an unknown - 1-3 leads a week and effectively invisible to ChatGPT, Perplexity and Google AI Overviews. In a single quarter our BREAM framework took them from unranked to the answer engines' default recommendation, and from a trickle of leads to 200 active clients generating 3 sales conversations a day.

The results

200 Active clients acquired
3+ Inbound leads per day
3 mo To market recognition
9+ Content clusters built

When HelpSquad launched its Healthcare BPO line, the category was already crowded with established players who owned every AI answer. HelpSquad had the service, the pricing and the team - but when a prospective buyer asked ChatGPT or Perplexity "who are the best healthcare BPO providers," HelpSquad simply wasn't in the answer. We ran our BREAM framework across three focused sprints - rebuilding how answer engines could find, understand and trust the brand. Twelve weeks later HelpSquad was being surfaced and cited by name, converting AI-driven discovery into a steady pipeline instead of a trickle.

The challenge

  • New entrant in a crowded Healthcare BPO category where established competitors owned nearly every AI answer and top organic position.
  • Baseline of 1-3 inbound leads per week, with almost no discovery coming from ChatGPT, Perplexity or Google AI Overviews.
  • Thin entity signals - answer engines couldn't reliably identify what HelpSquad did, who it served, or why it was credible.
  • Content that read like the rest of the category: nothing extractable, quotable or distinct enough for an AI engine to lift into an answer.

How we did it

  1. 01

    Sprint A - Indexability (Weeks 1-2)

Rebuilt crawl and render readiness so answer engines could actually reach and parse the content: cleared indexability blockers, restructured pages around a single clear question each, implemented Organization, Service and FAQ schema, and reformatted key pages into 40-80 word extractable answer blocks that LLMs can lift verbatim.

  2. 02

    Sprint B - Branding & entity clarity (Weeks 2-6)

Established entity clarity so engines knew exactly who HelpSquad is: standardized category and service terminology, disambiguated the brand from similarly named companies, and built a 9+ cluster topical map across the healthcare-outsourcing questions buyers actually ask - each cluster interlinked around a pillar page.

  3. 03

    Sprint C - Authority (Weeks 4-12)

Built the credibility signals AI engines weigh before citing a source: consistent entity references across trusted directories, review and reputation coverage, and citation-worthy first-party detail competitors couldn't match - turning HelpSquad into a source engines were willing to name by default.

Key AEO tactics applied

  • Direct-answer blocks (40-80 word extractable passages) on every high-intent question
  • Unambiguous entity and service definitions so engines never confuse the brand
  • Organization, Service and FAQ schema on all core pages
  • Follow-up question coverage for multi-turn, chat-style search
  • A 9+ topical cluster interlinked around pillar pages
  • Trust-building through process specificity and proprietary detail
  • Citation strategy across industry blogs, communities and review platforms

Why it worked

Answer engines retrieve and cite extractable chunks - they don't rank whole pages the way classic search does. For a newcomer with no domain authority that is the opening: structured, clearly-attributed, quotable content can out-surface an established competitor's generic pages, because the engine is choosing the best answer to lift, not the oldest domain to rank. HelpSquad won by being the most extractable, best-defined source in its category - not the biggest.

“Allows us to pinpoint the exact types of content that are surfaced in specific LLMs. With that visibility, we've been able to prioritize our content strategy and drive a 5x year-over-year increase in traffic and demo requests from LLMs.”
